INTERNAL REGULATIONS
Internal Regulations of Senior High School
We have created the Internal Regulations of the Senior High School in order to provide better information on the basic principles of the organization and operation of our school. The Internal Operating Regulations were drafted by our Education Team and seeks to help each member of the educational community (students, teachers, support staff, parents/guardians) to better understand their role in school life.
Our goal is the balanced and all-round development of the personality of our students, on a cognitive and emotional level, as well as the creation of ideal schooling conditions, so that each school year is creative, unique and based on solid foundations.
For all this, the cooperation and assistance of all parties involved (parents, students, teachers) is essential, who must be aware of, apply and respect the rules of the school routine that the child lives. This form sets out a practical orientation and outlines some necessary conditions for the better functioning of the school.
Please study the form and follow the procedures that apply to you. Enrolling a student in our school requires acceptance and application of the rules that follow to ensure the formation of a peaceful, organized and cooperative school community for the benefit of our children.
INTERNAL REGULATIONS FOR SENIOR HIGH SCHOOL
THE PARAGRAPHS OF THE INTERNAL REGULATIONS FOLLOW IN DETAIL
- The daily arrival of students to school takes place before the bell rings (8.13 a.m.).
- The morning assembly, with prayer and announcements, is an important part of school life, in which everyone should participate.
- Students, once the bell rings, are required to line up for the daily assembly at the designated place for their class, without delay. If during the first class period a student is more than 10 minutes late and arrives at the school site from 8.30am onwards, he/she will not be allowed to enter the classroom as this will disrupt the flow of the lesson. He/she will take an absence and remain in a place decided by the Principal.
- Parents must notify the school immediately of any absence of their child and the reason for the absence.
- A pupil may only leave school before the end of lessons for serious reasons, with the permission of the Headmistress, after contacting the parents or guardians of the pupil concerned.
- Unjustified is considered to be any absence from a mid-term lesson without the permission of the Headteacher.
- Parents are prohibited from entering a classroom.
- In the event of students travelling by their own means (car/bicycle), you must inform the school management.
Breaks are a much-needed respite for everyone, which is why timetables must be respected by everyone: teachers and students.
- When the bell rings for a break, pupils must leave the classrooms after opening the windows for the necessary ventilation. They are directed to the cafeteria, the courtyard or remain in the school patio area entertaining themselves with board games.
- In the canteen, the order of priority must be observed and the behavior of the pupils must be courteous to their classmates and employees.
- Group games (basketball, volleyball, football, etc.) are allowed only on the respective courts and after consultation with the PE teacher.
- School sports equipment must be used with care and always with the permission of the PE teacher and the supervision of the teachers on duty to avoid injuries.
- Smoking is prohibited in all areas of the school.
- Disputes between students must be resolved through dialogue and not through the use of violence. In all cases, abusive language and violence that degrade the quality of relations between students are prohibited.
- At the end of the break, pupils must be in their classrooms on time. Late students will not be admitted after the teacher enters, will be given an absence and will remain in the faculty office area.
- For any problem during the break, students should contact the teacher on duty or the teacher in charge of the department, who will then inform the Principal.
- Dress Code & Grooming: Students' appearance (clothing and hairstyle) should be appropriate, clean, and modest. Provocative or eccentric styles should be avoided.
- Physical Education Attire: For Physical Education classes, students must wear a sports tracksuit and appropriate athletic shoes. Failure to comply will result in the student not being allowed to participate in the lesson and being marked absent, unless there is a documented health reason communicated by the student or their parents to the teacher.
- School Supplies & Materials: Students should bring only the necessary items for their lessons and school activities. If a student repeatedly fails to bring the required materials, the teacher has the right to issue a temporary removal from class.
- Prohibited Items: Students must not bring items that are unrelated to the school environment, inappropriate, or pose a safety risk to themselves or their classmates.
- Money & Valuables: Students should not carry large sums of money or valuable items. The school is not responsible for any loss of such items. To help safeguard personal belongings, the school offers individual lockers for one academic year. However, students are personally responsible for their stored items.
- Lost & Found: If a student forgets or loses a personal item on the school bus or within the school premises, they should check the Lost and Found at the school’s administration office.
- The visible possession or use of mobile phones, electronic devices, or games with image and sound processing capabilities for communication, recording, or any other purpose is strictly prohibited within the school premises (both indoor and outdoor spaces).
- The only exception to this rule is the use of medical applications on mobile devices, which is allowed strictly with a certified medical diagnosis.
- Students may use the school administration’s telephone to contact their parents/guardians when necessary.
- The use of mobile phones and other electronic devices is only permitted on school trips under the supervision and guidance of the accompanying teacher.
- Mobile phones, laptops, or computers may be used as digital tools during lessons, but only if the teacher has informed students in advance in the previous lesson.
- Teachers may use their mobile phones only during breaks and only within the staff room.
If a student is found to possess or use a mobile phone within the school premises:
- The teacher will inform the School Principal, who will apply a disciplinary measure of a one-day suspensionfrom classes. The parents/guardians will be notified about the student’s behavior.
- If a student is caught recording, photographing, or video-recording teachers or other students:
- The Principal will ask the student to turn off and surrender the device.
- Parents/guardians will be called to the school to discuss the incident.
- Depending on the severity of the violation (especially in cases of personal data breaches), the Principal may impose a suspension of up to three (3) days.
- If the student’s behavior is considered severely inappropriate, the case will be referred to the Teachers’ Council, which may impose a suspension of up to five (5) days.
- If the incident involves the recording or sharing of sensitive personal data of third parties, the Teachers’ Council is required to enforce a school transfer as a disciplinary measure.
- The development of a positive school climate is a key factor in preventing and addressing incidents of violence, harassment, coercion, and bullying. A healthy school environment is characterized by: mutual respect, acceptance of diversity, collaboration with external organizations, strong school-family partnerships
- Students have the opportunity to schedule meetings with the school psychologist, aimed at supporting their emotional well-being, managing stress, and addressing any difficulties they may encounter during their school life.
- Students can also meet with the School Life Counselors, who provide guidance and support to students, parents, and guardians on educational and personal matters. Their role includes: Crisis management & prevention of extreme behaviors, Support for students with learning difficulties, Inclusion & integration strategies, Guidance for students with special abilities, talents, or interests, Transition support to other educational levels, School mobility and adaptation assistance, Parent counseling and support groups
By fostering trust and collaboration within the school community, the School Life Counselors contribute to a safe and supportive learning environment for all students.
- The responsibility for monitoring student attendance lies exclusively with parents/guardians. If a student is absent, their parent/guardian must inform the school immediately using one of the methods selected and declared at the time of enrollment: Email, SMS, Written letter, Phone call (with updated confirmation). If the school is not informed, the administration will contact the parent/guardian by phone to notify them of the student's absence.
- The school administration is responsible for keeping parents/guardians informed about student absences using: Phone calls, Emails sent from an official school account
- For General High School students, promotion and graduation depend not only on academic performance but also on regular attendance throughout the school year. Attendance includes: Consistent participation in all scheduled lessons, Punctual arrival to class
Counting & Classification of Absences
- Each class period missed counts as one (1) absence.
- Absences from cultural or sports events scheduled within school hours count as unexcused absences for the number of periods missed.
- Students who do not participate in school trips and do not attend the alternative schedule arranged for non-participants will have unexcused absences.
- Late arrival after the teacher has entered the classroom is counted as an absence.
Absences Not Counted Towards Attendance Records
Certain absences do not impact a student's attendance record, including:
- Participation in approved activities (domestic or international)
- Students excused from specific subjects but remaining at school during those periods
- Absences due to severe weather conditions making attendance objectively difficult
- Participation in long-term international mobility programs (up to 4 months) with official proof of attendanceupon return
- Up to 2 days of absence for visits to Centers for Educational & Counseling Support (ΚΕ.Δ.Α.Σ.Υ.)for special educational needs assessment
Classification of Attendance as Sufficient or Insufficient
Sufficient Attendance if:
- Total absences do not exceed 50, regardless of reason
- Total absences do not exceed 114, provided that at least 50 are justified or due to illness
Insufficient Attendance if:
- Absences exceed 50 and do not meet the criteria for the 114-absence rule
Medical Documentation & Justification of Absences
- If a student is absent for more than two (2) days due to illness, the parent/guardian must submit a medical certificate from a public or private healthcare provider within 10 working days of the student's return.
- After this deadline, no late submissions will be accepted.
For up to 2 days of absence due to illness or serious family reasons, a signed declaration from the parent/guardian is sufficient. However, this can only be used for a total of 5 days per academic year and must be submitted within 10 days of the student's return.
- One of the school's objectives is to foster a sense of responsibility in the students regarding the quality of the school environment. Clean and well-maintained buildings - classrooms, laboratories, courtyards - form the environment in which it is possible to cultivate the soul of the student. Damage, deterioration and misuse of the school's property weakens its educational potential and leads to the perception that the property is being devalued.
- In those cases where it is proven that the damage/destruction, partial or total, of school buildings, grounds and annexes thereof, as well as the physical infrastructure and equipment within them, is attributable to a particular student, the latter shall be checked for such conduct and the cost of restoration shall be borne by his/her parent/guardian or himself/herself, if he/she is an adult.
- The management of the school unit shall summon the same student who is an adult or the parent/guardian/custodian to whom the damage is proven to be attributable and shall ask him/her to make reparation within a period of five (5) days.
- In order to better organize the school life of our students, lockers have been placed in specific areas of the 1st floor. In these lockers students will be able to leave their personal belongings (money, books or even clothes to change after the gym class). If a student decides to use a locker, they should be aware of the following:
- He/she cannot put stickers on it because the same locker will be used by another student at some point.
- The locker may be used by another person because the locker may be used by another student. The student, once he/she has received the key to the locker, will pay the sum of 20€ as a deposit, which will be returned to him/her when he/she stops using it, provided that he/she returns it in the same condition as when he/she received it.
- He/she is responsible for the keys and, if they are lost, the guarantee will be forfeited.
- The period of use of the safe deposit box is from the beginning of the school year until Christmas. If the pupil has complied with the preceding and wishes to continue to use it, he/she may do so. If he/she does not want to continue using it, he/she will be refunded the deposit and handed the key. If the student has not complied with the preceding, then the deposit will be kept and he/she will not be able to continue using it.
- The Transportation Office determines which school bus will be used to transport each student to and from school. A change to a school bus can be made by the student's parent/guardian upon notification to the Circulation Office or the General High School Office by 10 a.m. .
- Inside the school bus it is paramount that all safety rules are observed.
- Students must be particularly careful when boarding and alighting.
- They must remain seated in their seats and always wear a seat belt throughout the journey.
- Avoid shouting, noise, gestures and generally any action that may distract the driver from the road and endanger the safety of all those on the school bus.
- No food or refreshments are allowed on the school bus.
- Students must respect the space and not leave litter or cause damage.
- They must behave with courtesy and decency towards the driver, chaperone and other students on board.
- They must comply immediately with the instructions of the driver and the chaperone.
- The school considers the participation of students in all school activities (parades, school holidays, sports events, walks) an integral part of school life.
- Students' neat appearance and decent behavior at school activities are considered to be self-evident obligations, as they represent the school in addition to themselves in activities outside the school.
- Students must be disciplined to the schedule, timetable and accompanying teachers.
- Participation in excursions with travel/lodging costs etc. is optional. Early expression of interest in participation and payment of the appropriate amount of money is the responsibility of the parent.
The Teachers' Association has the pedagogical responsibility to take actions and implement practices to create in the school the climate required for the realization of the educational objectives and to educate students to respect different roles and recognize the need to respect the rules.
Deviant/offending behavior includes:
- physical/verbal violence
- verbal and physical abuse, physical and verbal abuse
- theft and damage to school or classmates' property
- smoking/vaping
- unauthorized leaving the school premises
- refusal to participate in the educational process.
The Teachers' Association has a pedagogical responsibility to take action and implement practices to create the school climate necessary to achieve the educational objectives and to educate students to respect different roles and to recognize the need to respect the rules.
Student who is disruptive in class:
- 1st observation
- 2nd observation and change of position (If the student refuses to change position, then he/she is taken to the Principal's office).
- 3rd observation, removed from class and taken to the Principal's office.
At recess, the teacher, the student and the classroom teacher and the Principal will discuss the matter and the Principal will inform the parent/guardian.
In the case of undesirable behaviour of a pupil, a meeting between the teacher in charge, the School Life Counsellor, the parent/guardian and the Headmistress will be scheduled.
If a one, two or three-day suspension is given (by decision of the Teachers' Association), the student will attend school as normal, not attend classes, follow his/her own schedule and have a meeting with the School Life Counsellor.
- Students who consistently fail to cooperate may also be excluded from field trips.
- Students who cause damage to school equipment:
- The parent/guardian is immediately notified and called to school, taking charge of the repair.
- Where possible the student will assist in repairing the damage.
- Information and cooperation with parents by teachers is essential for the progress of students.
- Parents can come to the school - after telephone notification - to be informed about their children's attendance and progress. They must respond to teachers' requests for information and may ask to be informed about their children's written examinations.
- The official schedule of days/times that teachers can receive parents for information is communicated when the school timetable is finalized.
- At the scheduled information and cooperation meetings between teachers (or special guests) and parents/guardians, it is considered necessary for all to participate and therefore, prior notice is always given in advance.
- It is particularly important that the school management is informed immediately and responsibly about children's health issues, possible learning difficulties, treatments, interventions, etc., as well as about anything they deem necessary to ensure the health and safety of children during their stay on school premises.
- It is reminded that students in the first grade must present at the beginning of each school year the Personal Health Card, signed by a doctor, in order to be allowed to participate in the Gymnastics class and to inform about a) change of personal data and b) change of health status and to indicate the completeness of their compulsory vaccination.
It is a dynamic and necessary process through which the student understands his/her potential and weaknesses, so that with the help of the school he/she can improve.
The following are taken into account for the evaluation of the pupils' performance.
Written examinations are divided into:
- short tests, which take place unannounced in the day's lesson, with no limit to the number of tests;
- hourly tests, which take place after a week's notice and are usually of a repetitive nature. They may not exceed one per day and three per week.
- Preparatory/graduation courses (at the end of the school year in accordance with current legislation).
At the end of each term, in addition to the oral assessment, pupils receive the School Progress Report (Descriptive Assessment) in certain subjects.
- Ekpaideftiria Bougas, as an organization firmly oriented to progress and development in the field of education, has launched a new partnership with Microsoft for the creation of learning experiences and the use of effective teaching methods with modern technological means for the benefit of every student.
- The ultimate goal is to join the ranks of the most creative technology schools by following the Microsoft Education Journey while implementing the Education Transformation Framework.
- At the same time, at the administrative level, we are activating applications to annihilate bureaucracy and ensure optimal and timely communication with parents and guardians.
- In this context, we are working closely with EPAFOS and will communicate with you through the portal of our new platform, 4schools.
- A comprehensive emergency response plan (e.g. earthquake) has been developed and is followed by the teachers and the rest of the school staff. The assembly area for the students of the High School and the General High School is the courtyard (basketball, volleyball and tennis courts).
- Each class is assembled in one spot along with the teacher who was teaching the class at the time. If a child needs to be searched for (e.g., was toileting), assistance will be requested from another teacher or the school administration. Children are never left alone.
- If parents/guardians come to pick up their children, it is noted which parent picked up which child. School-parent/guardian communication is through the school telephone or through mobile telephones of the school administration, secretary, teachers.
- In all cases, the teacher remains with his/her class at the designated assembly time and await instructions from the Administration. If necessary, children will remain at the school (not leave on a school bus) and will leave with their parents.
- In order to enroll and attend high school, students are required to have completed basic immunizations, according to the guidelines of the National Immunization Program of the Ministry of Health. The basic vaccines required for students include:
- Diphtheria, tetanus and pertussis vaccine (DTaP/Tdap)
- Polio vaccine (IPV)
- Measles, mumps and rubella vaccine (MMR)
- Hepatitis B vaccine (HBV)
- Varicella vaccine, if there is no natural immunity
- Meningococcal vaccine (MenACWY)
- HPV vaccine (if recommended)
- Presentation of a vaccination certificate is required to complete registration. If the required vaccinations have not been given, the student's registration will not be accepted unless there is a medical certificate justifying exemption from vaccination.
Please be informed that our school is fully compliant with the European Union's General Data Protection Regulation (GDPR) announced in 2016 and already in force since 25 May 2018 on the protection of personal data of our students.
- Parents of pupils attending the school must be punctual in their financial obligations to the school as set out in the agreement made at the time of the pupil's enrolment.
- Tuition fees are annual and are payable either in a lump sum or in installments. An advance payment is made at the time of the student's enrolment, which is deducted from the annual fees and the balance of the fees is paid in equal monthly installments.
- The student's registration is only valid when the deposit has been paid.
- The installments of tuition fees must be paid by the first five days of each month.
- Tuition fees can be paid in the following ways:
- In cash
- By credit/debit card
- Deposit in the company's bank account
- If a child does not attend at the parents/guardians' responsibility, the deposit is non-refundable.
- In the event that a child permanently discontinues attendance, the next monthly installment will be paid.
- Parents/guardians of pupils are obliged to be punctual in the regular payment of tuition fees and other financial obligations, as set out in the written financial agreement signed by both parties (parent/guardian - school) at the time of the pupil's enrolment. Non-consistency in tuition payments determine and affect the smooth operation of the entire school unit.
- In case of non-payment of tuition fees, the school reserves the right to exercise all its legal rights.
